The Assistant to the Provost and Vice President is responsible for performing a variety of administrative/professional functions to assist the Executive Vice President and Provost in the management and administration of the College; performing or overseeing completion of executive, administrative, and secretarial tasks by working independently and always exhibiting a high degree of professionalism.
RESPONSIBILITIES (non-inclusive):
- Manage the daily operations of the Provost’s Office, including meeting coordination, scheduling events, travel arrangements, budget, and calendar management
- Develop and analyze academic reports
- Compose letters and reports
- Update Higher Learning Commission accreditation reports
- Report degree and certificate changes to the Ohio Department of Higher Education and the Higher Learning Commission
- Design and create presentations related to academic affairs
- Facilitate the planning and organization of college meetings including all Fall Conference Week and Reading Day activities, faculty events, and various seminars and workshops
- Serve as a resource for selected major college committees, e.g., the Curriculum Committee, the Provost's Council, and the Vice President’s Academic Advisory Council, including facilitation of agendas and meeting minutes
- Support the Board of Trustees’ Academic and Student Success Committee
- Represent academic affairs on college committees
- Serve as a resource for faculty, staff, and deans regarding academic matters
- Communicate with faculty, staff, and administrators regarding academic-related matters
- Maintain the Ohio Chief Academic Officer's website
- Establish the college’s academic calendar
- Coordinate the development, revision, and editing of the college catalog using CourseLeaf
- Manage the curriculum process to include working with faculty on curriculum changes, programming the DegreeWorks database with curriculum updates, and serving as a point person on curriculum matters
- Coordinate continuous improvement of curriculum management processes to dovetail with other college systems, e.g., Department and Program Review (DAPR), Banner, CourseLeaf, and DegreeWorks
- Other duties as assigned
QUALIFICATIONS
Education and Experience/Training
- Bachelor’s degree or equivalent work experience required.
- A minimum of five years of experience as an administrative assistant, executive assistant, or managerial experience with responsibility to act independently and coordinate projects or events is required.
Knowledge, Skills, and Abilities
- Strong computer skills, including proficiency in all Microsoft Office products.
- Working knowledge of HTML and Banner is preferred.
- Ability to maintain confidentiality
- Strong written and oral communication skills
- Excellent attention to detail
- Excellent organizational and proofreading skills
CONDITIONS OF EMPLOYMENT
- This is a 12-month, full-time supervisory/professional (S/P) position.
- The annual salary is grade 3 of the administrative and supervisory/professional salary schedule.
- Please note: The final offer for the successful candidate is targeted to fall within this range but will be based upon an assessment of internal equity, the unit's available budget, and the candidate's qualifications in relation to the minimum and/or preferred job requirement(s).
- Campus business hours are Monday - Friday, 8 a.m. - 5 p.m. This position is not eligible for remote work.
