Bookstore Assistant

Accounts Payable:
•    Managing accounts payable using accounting software and other programs
•    Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices using the college’s procurement software. 
•    Stay up to date with vendors by monitoring discount opportunities, verifying federal id numbers and resolving purchase order, invoice, or payment discrepancies and documentation.
•    Ensures credit is received for outstanding memos and send information to Lakeland’s Account Coordinator.
•    Reconciling monthly statements and related transactions by maintaining Bookstore’s accounting spreadsheets. Verify payments disputes with Lakeland’s Auxiliary Accountant. 
•    Maintains historical records by filing documents and keeping vendor accounts up to date via W9 and remittance addresses. 
•    Protects organization’s value by keeping information confidential.
•    Updates job knowledge by participating in educational opportunities.
Key Holder - Opener/Closer: 
•    Provides leadership support and helps run the store when managers are away.
•    Performs opening and/or end of day duties relative to the bookstore:
    Balance bookstore cash drawers; create daily deposits; ensure documentation is filed with daily reports.
    Help maintain bookstore safe funds; purchase change from cashier’s office to replenish working cash drawers; balance safe fund weekly. 
•    Operates the register, processes sales transactions, and resolves issues concerning register, assist in giving cashiers breaks when necessary. 
•    Closes out the register and communicates any shortages or overages to the store manager.
•    Work with store management to ensure no misuse of company property or theft; help in ensuring that inventory is up to date to promote accuracy. 
•    Supports the maintenance and organization of the stock room.
•    Assists in training new associates as needed to help them quickly get acclimated to the team.

Customer Service:
•    Displays product knowledge and customer experience skills.
•    Prepares for customer inquiries by learning products, services, and customer service processes. Assists students with accessing electronic course materials. 
•    Serves customers by providing product and service information. 
•    Resolve product or service problems by clarifying the customer’s complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem, expediting correction or adjustment, and following up to ensure resolution.
•    Assists with shelving textbooks, merchandise, supplies, study aids as needed; assist with physical inventory on or around the last Friday of June (mandatory).

•    Assists with commencement (mandatory). 
•    Assists online order processer with pulling and processing orders. 

•    Perform other duties as assigned. 

Qualifications:
Education and Experience Required/Preferred: 
Associate degree in office administration, business, accounting or related field complimented with experience in office administration, retail accounts payable and POS cash register. 
An equivalent combination of education and experience providing the knowledge, skills, and abilities are acceptable. 

Knowledge:
Knowledge of principles of retail cashiering, end of day reporting, and accounts payable practices. 
Experience associated with technology including web applications, systems and person computer application. Ability to use Microsoft Office, 
Skills in following Oral and written instructions; performing mathematical calculations. 
Abilities to operate standard office and accounting equipment; ability to operate POS cash register; perform routine and detailed tasks in an accurate and efficient manner; meet deadlines; maintain effective interpersonal working relationships; work independently; strong customer support skills.
Physical Activity Level:
Medium – work requires lifting occasionally 20+ lbs and frequently walking or standing for long periods of times.  
Conditions of Employment:
This is a part-time, continuing status staff position working 28 hours per week, including evenings and additional hours during peak periods. The current schedule is Monday, Tuesday, Thursday 9:00 a.m.-4:00 p.m. and Wednesday 11:00 a.m. -6:00 p.m.
Compensation for this position is at 5A of the Staff Salary Schedule.
